Executive Assistant

 

Vanguard Properties, currently the largest residential real estate developer operating in Portugal, is undergoing a period of expansion. With a unique, high-quality portfolio of projects, the company is looking to strengthen its Lisbon team by recruiting an Executive Assistant.

 

Key Responsabilities:

Reception and Administrative Support

  • Provide direct support to the Board and the Executive Committee.
  • Support the organisation of internal events and welcome and assist visitors.
  • Manage calls, emails, correspondence and requests for information.
  • Support departments with administrative tasks, signature collection and document filing.
  • Upload documents to the document management platform and manage the contact database.
  • Organise general office tasks and procedures, ensuring professionalism, discretion and confidentiality.

 

Meeting Support

  • Schedule meetings
  • Arrange and prepare meeting rooms and assist external participants

 

Office & Facilities Management

  • Ensure that common areas are properly maintained and support the day-to-day management of the facilities.
  • Support the Office, Facilities & Procurement Associate whenever necessary.

 

Profile:

  • Bachelor’s degree in Secretarial studies, Administration or a related field (mandatory)
  • Minimum of 5 years’ experience in executive assistance and/or office administration (mandatory).
  • Advanced English; knowledge of French will be considered an advantage.
  • Intermediate proficiency in Microsoft Word, Excel, PowerPoint and Outlook.
  • Knowledge of Filedoc will be considered an advantage.
  • Excellent planning, organisational, communication, interpersonal and analytical skills.
